Position Overview
Administrator / Front Desk Representative
We are seeking a highly organized, personable, and proactive Veterinary Administrator / Front Desk Representative to serve as the central hub of our hospital’s daily operations. As the first point of contact for our clients, this individual plays a vital role in setting the tone for every visit—creating a warm, welcoming, and compassionate experience from the moment a client walks through the door. The ideal candidate is detail-oriented, comfortable multitasking, and thrives in a fast-paced, team-driven environment.
Key Responsibilities
- Client Communication & Experience
- Greet every client and patient with warmth, professionalism, and genuine compassion—you will be the first impression of our hospital
- Answer incoming phone calls, emails, and messages promptly and courteously
- Schedule appointments efficiently while optimizing doctor and technician workflow
- Manage the check-in/check-out process with accuracy and care
- Provide clear communication regarding services, estimates, and follow-up care
Hospital Workflow Coordination
- Oversee daily appointment flow to ensure timely and efficient patient care
- Coordinate with veterinarians and technical staff to manage caseload and priorities
- Anticipate scheduling challenges and proactively adjust as needed
- Help maintain a calm, organized, and welcoming front-of-house environment
Administrative & Operational Duties
- Configure and maintain veterinary medical software, including appointment templates, client communication tools, and medical record workflows
- Maintain accurate client and patient records
- Assist with reporting, data entry, and general administrative tasks
Inventory & Supply Management
- Order medical and office supplies in a timely and cost-effective manner
- Track inventory levels and maintain appropriate stock
- Work with leadership to evaluate vendors and manage supply budgets
Team Support
- Serve as a liaison between clients and the medical team
- Support team members by helping prioritize tasks and maintain efficient communication

Qualifications
- Previous experience in a veterinary clinic or medical office preferred

Position Overview
Veterinary Assistant
We are seeking a dependable, compassionate, and team-oriented Veterinary Assistant to support our doctors and technicians in delivering high-quality care to our patients. This role is hands-on and fast-paced, focused on assisting with daily patient care, maintaining a clean and safe hospital environment, and helping ensure the smooth flow of the clinic. This is an assistant role (not a technician position) and does not require advanced technical or licensed duties.
Key Responsibilities
- Assist veterinarians and veterinary technicians with patient care and daily treatments
- Support sample collection and basic patient handling/restraint as directed by medical staff
- Help maintain patient hygiene, including bathing and general cleanliness
- Clean and disinfect kennels, exam rooms, and treatment areas to uphold hospital standards
- Assist with surgery preparation, instrument cleaning, and maintaining surgical equipment
- Monitor patients during recovery from anesthesia under supervision
- Perform laundry and general housekeeping duties to keep the hospital running smoothly
- Stock supplies and help maintain an organized, efficient workspace
- Provide support wherever needed to ensure excellent patient care and team workflow
